Terms & Conditions
These Terms & Conditions govern all reservations, stays, and use of services at Bangalore Gate Hotel & Conferences, operated by Indra Hotels Private Limited, Gajanana Towers, 9 & 12, Kempegowda Road, Chickpet, Bengaluru – 560 009. By making a reservation or checking in to the hotel, you agree to be bound by these terms in their entirety. Please read them carefully before completing your booking.
1. Reservations & Bookings
All reservations are subject to availability at the time of booking. A reservation is considered confirmed only upon receipt of a written confirmation from the hotel or its authorised booking channels.
Guests are advised to book in advance to secure their preferred room category and dates, particularly during peak seasons, public holidays, and major events in Bengaluru. The hotel reserves the right to decline reservations at its sole discretion.
- Reservations made through third-party platforms are subject to the respective platform's terms in addition to these conditions.
- Confirmation is sent to the email address provided at the time of booking. Guests are responsible for providing accurate contact details.
- The hotel is not liable for reservations that are unconfirmed due to incorrect contact information supplied by the guest.
- Group bookings of 5 rooms or more are subject to a separate group booking agreement and may carry specific deposit and cancellation terms.
2. Check-In & Check-Out
Standard check-in time is 12:00 PM (noon) and standard check-out time is 10:00 AM. Rooms may not be available prior to 12:00 PM even if arrival is earlier.
All guests are required to present a valid government-issued photo identification document (such as Aadhaar Card, PAN Card, Passport, or Driving Licence) and the original booking confirmation at the time of check-in. Foreign nationals must present a valid passport and visa.
- Early check-in: Subject to availability. An early check-in surcharge equivalent to 50% of the applicable daily room rate may apply for arrivals before 8:00 AM. Arrivals between 8:00 AM and 12:00 PM may be accommodated complimentarily subject to availability.
- Late check-out: Guests wishing to retain their room past 10:00 AM must request a late check-out at the front desk. Late check-out until 3:00 PM is subject to a charge of 50% of the daily room rate. Check-out after 3:00 PM will be charged at the full daily room rate.
- The hotel reserves the right to charge for an additional night if the room is not vacated by the agreed check-out time without prior arrangement.
3. Cancellation Policy
Guests are requested to provide a minimum of 48 hours' notice prior to the scheduled date of arrival to cancel or modify a reservation without charge. Notice must be communicated by email to book@hotelbangaloregate.com or by telephone to the reservations team.
- Cancellations received more than 48 hours before arrival: No charge. Any advance payment will be refunded in full within 7–10 working days to the original payment method.
- Cancellations received within 48 hours of arrival: One night's room charge will be levied as a cancellation fee.
- No-shows: Guests who fail to arrive without prior notice will be charged for the first night of the booking.
- Non-refundable rates: Where a booking is made under a non-refundable promotional rate, no refund shall be provided under any circumstances upon cancellation.
- During peak periods and special events, extended cancellation notice periods may apply and will be communicated at the time of booking.
The hotel reserves the right to cancel a reservation in exceptional circumstances such as force majeure, property damage, or operational reasons. In such cases, guests will be notified at the earliest opportunity and any advance payments will be refunded in full.
4. Payment
The hotel accepts the following payment methods: major credit and debit cards (Visa, Mastercard, RuPay), net banking, UPI, and cash in Indian Rupees. International cards are accepted subject to the applicable bank charges.
- Advance payment or a valid credit card guarantee may be required to confirm certain room categories or during peak seasons.
- Any incidental charges incurred during the stay (room service, minibar, laundry, telephone calls, airport transfer, AV equipment rental, etc.) will be settled at check-out.
- For conference and banquet bookings, an advance deposit of 50% of the estimated event cost is required to confirm the reservation. The balance is payable on or before the date of the event.
- All prices are inclusive of applicable taxes (GST) as required by Indian law. Current GST rates apply as per government regulations in force at the time of stay.
- The hotel issues a GST-compliant invoice upon request. Guests requiring a GST invoice must provide their GSTIN at the time of check-in.
- All rates are quoted in Indian Rupees (INR). The hotel is not responsible for any currency conversion charges levied by the guest's bank.
5. Hotel Policy
Guests are expected to conduct themselves in a manner that is respectful of fellow guests, hotel staff, and the property at all times. The hotel reserves the right to refuse accommodation or ask a guest to vacate the premises without refund in cases of misconduct, intoxication, or violation of hotel policies.
- No Smoking: Bangalore Gate Hotel is a smoke-free property. Smoking is strictly prohibited in all guest rooms, corridors, restaurants, and indoor public areas. Designated outdoor smoking areas are available. Guests found smoking in prohibited areas will be charged a deep-cleaning fee.
- No Pets: Pets and animals of any kind are not permitted on hotel premises.
- Unmarried Couples: As per standard regulatory practices in Karnataka, the hotel reserves the right to request valid proof of identity and relationship status. The hotel follows all applicable local regulations regarding guest admissions.
- Noise Policy: Guests are requested to observe quiet hours between 10:00 PM and 7:00 AM. Loud music, disruptive behaviour, or any activity that disturbs other guests is not permitted at any time.
- Visitors: Visitors to in-house guests must register at the front desk. Visitors are not permitted in guest rooms after 10:00 PM.
- Property Damage: Guests will be held responsible for any damage caused to hotel property, furnishings, or equipment during their stay and will be charged accordingly.
- The minimum age for check-in without a guardian is 18 years.
6. Dining
Bangalore Gate Hotel is home to Clay Resto, our rooftop restaurant, offering an all-day dining experience with a focus on coastal Karnataka cuisine, North Indian fare, and international selections.
- Restaurant timings: Breakfast 7:00 AM – 10:30 AM | Lunch 12:30 PM – 3:00 PM | Dinner 7:00 PM – 11:00 PM. Timings are subject to change on special occasions.
- Complimentary breakfast: Where the booking includes complimentary breakfast, it is valid for the registered in-house guests only and for the duration of the booked stay. Breakfast cannot be transferred, exchanged for cash, or carried forward.
- In-room dining is available subject to applicable service charges. A menu is provided in each guest room.
- The hotel does not allow outside food and beverages to be consumed in restaurant premises, though guests may carry personal food to their rooms.
- Special dietary requirements (vegetarian, vegan, allergen-free, etc.) can be accommodated with advance notice to the front desk or restaurant team.
7. Facilities
The hotel offers a range of facilities for in-house guests. The availability of some facilities may vary and is subject to operational requirements.
- Parking: Complimentary parking is available for in-house guests on a first-come, first-served basis. The hotel is not responsible for loss or damage to vehicles or their contents while parked on hotel premises.
- Wi-Fi: Complimentary high-speed Wi-Fi is available throughout the property. The hotel does not guarantee uninterrupted internet connectivity and is not liable for any loss or inconvenience arising from internet service disruptions.
- Airport Transfer: Airport transfer services are available on a chargeable basis and must be pre-booked with the front desk or reservations team at least 12 hours in advance. Charges vary by vehicle type and are subject to change.
- EV Charging: Electric vehicle charging facilities are available on hotel premises for in-house guests. Subject to availability.
- Doctor on Call: A doctor on call service is available to in-house guests. The hotel facilitates the service; all medical fees are payable directly by the guest.
- The hotel reserves the right to temporarily close or restrict access to any facility for maintenance, renovation, or safety reasons without prior notice.
8. Liability
Indra Hotels Private Limited and its staff shall not be held liable for any loss, theft, or damage to guests' personal property, valuables, or belongings during their stay. Guests are advised to use the in-room safety deposit box or request the hotel safe for storing valuables.
The hotel shall not be liable for any indirect, incidental, or consequential loss or damage arising from a guest's stay, including but not limited to loss of business, loss of earnings, or personal injury, except where such liability cannot be excluded by applicable law.
- The hotel's maximum liability to any guest shall not exceed the total room charges paid for the relevant stay.
- The hotel is not responsible for any loss, delay, or inconvenience arising from circumstances beyond its reasonable control, including but not limited to natural disasters, strikes, civil unrest, power outages, or government action.
- Guests participate in any recreational activities on hotel premises at their own risk. The hotel shall not be liable for injury, illness, or death resulting from the use of hotel facilities.
9. Privacy & Data Handling
Bangalore Gate Hotel respects the privacy of its guests and handles personal data in accordance with applicable Indian data protection laws, including the Information Technology Act, 2000, and the Digital Personal Data Protection Act, 2023.
- Guest information collected at the time of reservation and check-in is used solely for the purpose of fulfilling the booking, complying with legal obligations (including police verification registers), and improving hotel services.
- Guest data may be shared with third-party service providers (such as payment processors and booking platforms) strictly on a need-to-know basis and for the purpose of completing the guest's reservation.
- The hotel does not sell or rent guest data to third parties for marketing purposes.
- Guests may request access to, correction of, or deletion of their personal data by writing to book@hotelbangaloregate.com.
- CCTV cameras are installed in public areas of the hotel for security purposes. Footage is stored securely and is accessible only to authorised personnel and law enforcement where required.
10. Governing Law & Jurisdiction
These Terms & Conditions are governed by and construed in accordance with the laws of the Republic of India. Any dispute, claim, or controversy arising out of or in connection with a guest's stay at Bangalore Gate Hotel shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka, India.
If any provision of these Terms & Conditions is found to be unlawful, void, or unenforceable, that provision shall be deemed severable and shall not affect the validity and enforceability of the remaining provisions.
The hotel reserves the right to amend these Terms & Conditions at any time without prior notice. The version in force at the time of booking shall apply to that booking.
